Registration & Housing FAQ

1. I just found out I can't attend for a really good reason. Can I get a refund?

All of our materials, both printed and on the web, clearly state in multiple places that all purchases are non-refundable and cannot be transferred to future events—see our refund policy below. If you cannot attend the conference this year, you can transfer your registration to another person for SXSWedu 2013 only.

To transfer a registration, please log into the shopping cart used to originally purchase the registration. Click on 'Transaction History' on the right side of the screen. All registrations purchased using this shopping cart will appear. Click on 'SXSW Registration Transfers' at the bottom. You'll be prompted to log into the transfer application. Use the same username and password used for access to your shopping cart. Choose the registration to be transferred. Enter the new registrant's contact information. You'll have the opportunity to either cancel or transfer the original registrant's housing accommodations, should they have one. Enter payment information for the $125 transfer fee and hit submit. Once the transfer has been processed, the new registrant will receive a registration confirmation email.

There is a $125 non-refundable transfer fee. There is no deadline for a registration transfer. For any registrant whose registration has already been transferred, for any subsequent transfers, please email reg@sxswedu.com.

2. What are SXSWedu’s refund policies?

PLEASE READ!

By submitting a registration or authorizing payment to SXSWedu in any form, payor agrees to the following policies:

(1) Payments are not refundable for any reason including, but not limited to, failure to use SXSWedu credentials due to illness, acts of God, travel-related problems, and loss of employment.
(2) Discounted prices are based on the date payment is received in the SXSWedu office.
(3) Unused registrations/applications have no monetary value and cannot be credited to future years or events.
(4) Badges are issued to individuals and can be picked up and used only by the individual named.
(5) If you have been granted a registration coupon and fail to redeem it during the registration process, you will not be refunded or credited the difference.
(6) If duplicate registrations are purchased for the same attendee (whether purchased independently, through your company or by another attendee) the additional
registration will not be refunded. It can be transferred for a $125 transfer fee.
(7) A $125 processing fee will be assessed to change the name on a registration.

3. What's the easiest way to register for SXSWedu?

The quickest, and easiest way, is to register online and pay by credit card. You will also be able to book hotel accommodations through the housing department after registering. If you must pay by PO, please reference FAQ #4. To pay by wire transfer please email for more information. You must be a publicly held international corporation, government or state agency, or educational institution in order to pay by wire transfer. Due to long transaction times, SXSW will no longer be accepting wire transfers after March 1st. You can obtain transfer details by emailing reg@sxswedu.com. Your registration must be paid in full to take advantage of the discounted rates. You may also register onsite at the Downtown Hilton in Austin, Texas.

4. What if I need to pay by Purchase Order (PO)?

Complete online registration forms for all the individuals to be covered by a single purchase order using a single SXSWedu Shopping Cart. Click the appropriate button indicating that the registration(s) will be paid by PO and enter the necessary information for SXSWedu to generate an invoice. After the PO has been issued you must return to that Shopping Cart and enter the PO number. At that point those registrations will be considered paid and confirmed, and the registrants can request a hotel room.

5. How will I know that my registration form and payment were received?

After you register online, you can expect a confirmation email shortly afterwards and another more detailed confirmation within one business day. The confirmation is sent by email to the email address provided on the registration form and will show that we have received your payment and will include a receipt.

6. To whom do I make my check payable?

Checks should be made out to "SXSW Inc." with the invoice number(s) noted on the memo line. They should be mailed to:

7. When should I arrive in Austin?

Check out the SXSWedu Schedule to see when activities kick off. Registration will be open Monday, March 4th, from 8 am to 6 pm. The first set of breakout sessions will begin at 12:30 pm on Monday, March 4th.

8. What time does SXSWedu registration open, so I can pick up my badge?

Registration is open:

Monday, March 4th: 8am to 6pm
Tuesday, March 5th: 8am to 6pm
Wednesday, March 6th: 8am to 6pm
Thursday, March 7th: 8am to Noon

9. Where do I pick up my badge?

SXSWedu 2013 registration will open on Monday, March 4th, 8AM in the Austin Convention Center on the 4th floor. SXSWedu registrants should use the Austin Convention Center entrance at 4th & Neches -- just across the street from the Hilton Austin Downtown.

10. What will I have to do to pick up my SXSWedu badge?

To receive your SXSWedu 2013 badge, you will be asked to fill out a short form, and present a government issued ID. Feel free to ask any volunteers should you need assistance. While in line, keep an eye out for signage to ensure you're in the correct line and guide you on your way to the registration area.

11. So now I’m registered, how can I find out who is presenting?

12. I just found out that I can only stay for part of SXSWedu. Can I transfer my issued badge?

No, once a badge has been issued to you, we cannot reissue the badge to a different person.

13. Why book through SXSW Housing?

SXSWedu negotiates competitive rates and hotels for our guests. Your best bet for booking your preferred hotel at the best rate is to go through SXSWedu Housing.

14. What is the best way to reserve a hotel in Austin for SXSWedu?

The online SXSWedu Registration and Housing system is the easiest and quickest way to make a reservation. You can view the list of available hotels here. These rooms and rates are available only to confirmed SXSWedu registrants, which also include panelists, press, and sponsors. After registering, click on the Hotel tab in your Shopping Cart to enter the Hotel Requester and submit a hotel request.

15. What is the SXSWedu Hotel Cancellation/Change Deadline?

SXSWedu will charge a $50 processing fee to the credit card on file for each reservation that is cancelled or reduced in length of stay within 21 days of your scheduled hotel check-in . (This is in addition to cancellation fees charge by the hotel per their stated policy on your confirmation).

16. What are my hotel payment options?

It is each guest's responsibility to know what method of payment will be used upon check-in. Payment for the room must be arranged at the hotel's front desk at check-in and all charges must be settled when the guest(s) check-out. Upon arrival at your hotel, you must present the credit card to be billed or have completed a credit card authorization in advance, have pre-paid for your stay, or have cash. The hotel is able to provide their credit card authorization form if the credit card number used to guarantee the room is not in the name of the guest. If you know a credit card authorization needs to be completed prior to your arrival, you will need to contact your hotel directly for their form. The hotel contact information will be on your emailed SXSW reservation confirmation. If you wish to pre-pay for room and tax charges, you will need to contact your hotel directly for their form.
